BNUBS Organized a Series of Training Programs to Improve Administrative Skills

In order to further improve the professional ability and professional quality of the administrative management teachers in all departments of the school, we have recently carried out a series of improvement training on administrative management skills, which include news publicity practice, office software practical skills, document writing and common problems, as well as work stress and emotion management.

 

Ge Yuliang, Associate Party Secretary, said in the opening ceremony that administrative teachers are an important force in the development of the school and he hoped that through the series of post skills training, the administrative teachers can improve their own professional ability and service, further strengthen the exchanges and communication between various departments, and contribute to the construction and development of "Double First-Class" of the university and the school.

The First Session: Practical Training of Press Publicity Work

 

Press publicity is a key work in the construction and development of the school, which plays an important role in publicity and guidance, image display and cohesion gathering. In order to help all the administrative teachers to form a systematic cognition of the attributes, functions and communication of the news media to improve the ability and skills of publicity work, on the afternoon of May 13th, the school held a practical training lecture on publicity work in the conference room 9406 of JINGSHI HOTEL. Sun Weiwei, Associate Director of the Party Committee Propaganda Department and News Center, gave the lecture. Based on her own experience in the school's external publicity and the construction and operation of the network new media platform, Ms. Sun first introduced the orientation and task of the university's propaganda work and the main news platforms of the school. Subsequently, she focused on the standard of news release writing and the matters for attention in proofreading, introduced the choosing of annual key topics, encouraged teachers to contribute articles actively and work together to do a good job in news publicity.

In the discussion part, Ms. Sun and the teachers of the school discussed a lot on how to build the propaganda platform of the school and how to collect pictures.

Through Ms. Sun Weiwei's detailed introduction, I have learned the basic elements covered by the press release. Information must be showed in simple expressions, and the most real side must be presented to the readers. We should choose those standardized pictures and focus on the main part with a concise and clear manner.

Through the training, I have learned that the school has a very rich window for internal and external information dissemination. In addition to the commonly used microblog and WeChat Enterprise Account, there are also campus TV stations, school newspapers and paper media for people accustomed to using traditional media, so that teachers and students of different ages and different life habits can get to know BNU’s information. At the same time, through positive and negative examples, Ms. Sun Weiwei vividly showed us which photos could more effectively in reflecting the overall picture of the news.

The Second Session: Office Software Practical Skills Training

 

In order to improve the daily office-using ability and comprehensive quality of administrative teachers, on the afternoon of May 20th, practical office software skills were shared online and offline simultaneously in the conference room 1722 of the Rear Main Building. The topic of this lecture is "Practical Skills of Office Software Sharing". Liu Yu, teacher from Beijing Normal University Information Construction Office and Information Network Center Information Planning and Management Department, was invited to give a lecture.

Combining with her rich experience in the application of teaching information technology, Liu Yu shared from three aspects: practical skills of office software, quick production of posters, and file sharing and collaboration. From basic Word application column and graphic editing, to PPT material processing and style selection, color matching, typesetting, as well as Excel data entry and analysis, Ms. Liu shared everything patiently. The production of PPT poster showed the powerful charm of office software in daily application. Finally, Ms. Liu also introduced cloud disk and the legitimate software platform of BNU and suggested that we all used them.

In the discussion part, on combining with Ms. Liu's teaching, we put the skills into actual uses, which laid a solid foundation for the smooth development of office work in the future.

 

-- Sharing of Experiences

 

In this lecture, the keynote speaker, Ms. Liu Yu, introduced the office software commonly used in daily work, and shared many practical methods and some tips, such as Word, PPT and Excel. Through the presentation and explanation of the keynote speaker, we have learned a lot of functions that we have never used before. I believe that these shortcuts and convenient functions will be of great help to our future work, and at the same time, they also stimulate our enthusiasm to dig out more these practical skills.

After Ms. Liu’s in-depth training on office software for administrative staff in our school, we had a more profound understanding of office software. In this training, I deeply realized that after mastering the clever use of office software, the daily work can become easy and convenient, and the precious time can be put into more meaningful work.

In the training of practical skills of office software, Ms. Liu explained a lot of practical skills. For example, the split function in Word can compare and view documents, and the PivotTable function in Excel can summarize and organize data faster, etc., which benefited me a lot. I hope I can have more opportunities to learn and practice later.

The Third Session: Document Writing Training

 

On the afternoon of June 3rd, the official document writing training for the administrative teachers of the school was held in the conference room 9406 of the JINGSHI HOTEL. The lecture was given by Yang Zhao, Associate Director of the School Party Committee and Associate Director in the President's Office, with the title of "Starting From the Writing".

 

Ms. Yang has been engaged in secretarial work for a long time and has rich practical experience. She first introduced the core content of the training from the question "what is official document" : the concept and classification of official document, as well as the key points and skills of various official document writing. Combined with specific examples, she mainly introduced the writing methods and skills of several common official documents, such as request for instructions, report, notice, etc., and deeply analyzes and explained the elements, format, language and planning of official documents. In addition, Yang stressed that to write high-quality, accurate and fluent official documents required a solid theoretical level. So she suggested teachers to read important speeches and theoretical articles often, write and practice frequently, and constantly improve their logical thinking and official document writing ability. Finally, Miss Yang introduced the operation process of official documents from the aspects of OA system, the reference of school issued official documents and common matters needing attention.

In the discussion part, Ms. Yang and the teachers of the school had an in-depth discussion on how to collect writing materials, how to write practical articles, and the differences and similarities between official documents and press release writing.

First of all, I would like to express my gratitude to the school for providing a series of training for administrative teachers. I have actively participated in each session and gained a lot. In this session, Teacher Yang Zhao, Associate Director of the Party School Office, gave us an official document training session, who introduced the standards and cases of official document writing in a simple way. We also had a very fruitful discussion. Everyone gained a lot in the one-hour training. I hope we can apply what we have learned in the future.

Teacher Yang Zhao provided us with concise language a useful document writing training. Teacher Yang first described the classification of official documents, and gave us a more clear picture of document writing through the demonstration of frequently used documents such as requests, reports, notices, letters, etc. In addition, Yang also shared with us how to organize official document, and she gave detailed introduction of vertical and horizontal writing layout, which would help us to write a clear, detailed documents.

Teacher Yang gave an detailed introduction of the document writing. Only by correctly mastering the use of common document types can we guarantee the smooth progress of the work and smooth operation of all links. At the same time, in official document writing, we should strengthen the study of the Party's principle and policy theory, establish firm political stand and political direction, and correctly implement the Party's policy theory into official document writing. Through this training, I fully realized the importance and rigor of official document writing, and that reminded me to think more, practice more and deliberate more in my daily work, and pay attention to the study of theoretical knowledge of writing. I should also improve the consciousness of theoretical writing and reduce blindness. Only by focusing on the overall situation, seeking truth from facts, can we write satisfactory cooperation documents in rigorous and standardized language.

The Fourth Session:  Work Stress and Emotion Management Training

 

On the afternoon of June 11th, the school held a lecture on "Work Stress and Emotion Management" in the conference room 9406 of JINGSHI HOTEL. The lecture was delivered by Associate Professor Zhang Jiming from the Student Psychological Counseling and Service Center of the Engineering Department of Beijing Normal University.

At the beginning of the lecture, Mr. Zhang introduced the psychological factors and environmental factors of emotion by combining the stories around him with simple and humorous language. He explained in detail how to carry on the psychological decompression and counseling from the commonness and individuality of emotion, different responses to stress and their physical and psychological effects. Through specific cases and interactive explanations, Mr. Zhang told teachers to accept their emotions, take care of themselves, and exercise appropriately. Finally, with the Accept Strategy as the title, Mr. Zhang summarized the management skills for alleviating pressure and controlling emotions from six aspects: enriching behavior, experiencing value, internal and external comparison, replacing consciousness, improving technology and thinking awareness.

Through Mr. Zhang's wonderful lecture, everyone felt the importance of relieving pressure and controlling emotions. During the Q&A session, Mr. Zhang had a simple discussion with the participating teachers on how to improve happiness and how to balance work and life.

By learning Teacher Zhang's analysis of pressure and emotion, I can more objectively look directly at and think about these problems reflected in daily life. Our stress is reflected both physically and mentally, and we need to accept it, and we can actively adjust to it. For example, when your body feels uncomfortable, you can ease it by creating a more comfortable environment around you. We do need to try to make peace with ourselves and understand the various self-care behaviors that need to be practiced and learned later on in our daily lives.

After Mr. Zhang's explanation, I have a more profound understanding of the source of pressure and how to treat pressure and release pressure. Pressure is inevitable in the work and the key is how to correctly face pressure. Teacher Zhang provides us with many ways of releasing pressure. I am very much inspired by the decompression method. For example, when you sit a lot in the office, you can walk more in the evening to relieve the pressure, rather than lying on the couch watching the computer. And if you just bring home the state in the office, you can not completely relax. At the same time, we also need to understand each emotion of ourselves and students, accept each emotion, allow the existence of negative emotions, and believe they can be released. Through the work pressure and emotion management training organized by the school, I feel I have benefited a lot and it has helped us to learn to relieve the pressure in a scientific way in the busy work and better release the pressure, so as to live a more healthy work and life. I would like to thank the school for the organization and Mr. Zhang's teaching.
